That Cleaning Company ("we", "us", "our") is an Australian cleaning services business based in Melbourne, Victoria. We are committed to protecting your privacy and handling your personal information in an open and transparent way.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and disclose it, and your rights regarding that information. It applies to all personal information we collect through our website at thatcleaningcompany.com.au, our contact form, our email communications, and when we deliver cleaning services to you.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website or submitting your details to us, you agree to the collection and use of your information as described in this policy.

2. Information we collect

We only collect personal information that is reasonably necessary for our business functions. The information we collect falls into two categories: information you give us directly, and information collected automatically.

Information you provide directly when you submit our contact or quote request form: your name; email address; phone number; property suburb and postcode; the type of cleaning service you are enquiring about; how frequently you require cleaning; and any additional details you choose to share in the message field about your property or requirements.

Technical information collected automatically when you visit our website: your IP address (used temporarily and solely for rate-limiting our contact form to prevent abuse — it is not stored persistently or used for any other purpose); the pages you visit and how you navigate the site (via standard web server logs); and general browser and device information.

We do not collect sensitive information as defined under the Privacy Act (such as health information, racial or ethnic origin, political opinions, religious beliefs, or financial details). We do not knowingly collect personal information from children under the age of 16.

3. How we use your information

We use the personal information you provide for the following purposes, all of which are directly related to providing and improving our cleaning services:

Responding to quote requests: when you submit our contact form, we use your name, email, phone number, address, and service details to prepare and send you a personalised quote, and to follow up on that enquiry.

Booking and delivering cleaning services: once you engage us, we use your contact and property details to schedule, confirm, and deliver your cleaning service, and to communicate about any changes.

Sending transactional emails: we use Resend (see Section 6) to send you an automated confirmation email when you submit a quote request, and to send us an internal notification. These emails contain the information you submitted in the form.

Security and abuse prevention: your IP address is temporarily checked against an in-memory rate limiter to prevent automated spam submissions to our contact form. It is not logged, stored persistently, or linked to your identity.

Website improvement: we use aggregated, anonymised web analytics to understand how visitors use our site and improve its content and performance. This data cannot be used to identify you individually.

We will not use your personal information for any purpose that is incompatible with the reason it was collected without first obtaining your consent.

4. Who we share your information with

We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes. We share your information only with the service providers necessary to operate our business, and only to the extent required for that purpose.

Resend (resend.com) — our transactional email provider. When you submit the contact form, your name, email address, phone number, suburb, service type, and message are transmitted to Resend's servers to deliver your confirmation email and our internal notification. Resend is based in the United States. By submitting your details, you consent to this international transfer. Resend's privacy policy is available at resend.com/legal/privacy-policy.

Sanity.io — our content management system, used to manage and publish blog content on this website. Sanity does not receive or store any of your personal information submitted via the contact form. Sanity is based in the United States. Sanity's privacy policy is available at sanity.io/legal/privacy.

Vercel / hosting provider — our website is hosted on a cloud platform. Standard server logs may record IP addresses and page requests as part of normal hosting operations. These are not used to identify individuals.

Google Fonts — our website loads typefaces from Google Fonts. This causes your browser to make a request to Google's servers, which may result in Google recording your IP address. We do not control this data collection. Google's privacy policy is available at policies.google.com/privacy.

We may also disclose your information if required by law, court order, or a government or regulatory authority, or where we reasonably believe disclosure is necessary to protect the rights, property, or safety of our business, our clients, or others.

5. How we store and protect your information

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and from unauthorised access, modification, or disclosure.

Quote request data is transmitted securely via HTTPS and processed server-side. The information you submit is passed directly to Resend for email delivery and is not stored in a database by us. We do not maintain a persistent database of quote enquiries.

Email correspondence related to your enquiry or service booking is stored in our business email account and retained for as long as is necessary for the purpose for which it was collected, or as required by applicable laws and accounting obligations (generally 7 years for financial records).

Our website is served over HTTPS with TLS encryption. We use honeypot fields, timing analysis, and server-side rate limiting to protect our contact form from automated abuse.

Despite our efforts, no method of transmission over the internet or electronic storage is completely secure. If you become aware of any security breach, please notify us immediately at thatcleaningco@outlook.com.

6. How long we keep your information

We retain personal information only for as long as is necessary for the purpose for which it was collected, or as required by law.

Contact form submissions are not stored in a persistent database by us — they exist in email correspondence only. Email records related to quote enquiries are retained for a reasonable period to manage your relationship with us and to comply with our obligations.

Client records for active or recent service engagements are retained for 7 years from the date of last service, in line with Australian taxation and record-keeping requirements.

When personal information is no longer required, we take reasonable steps to delete or de-identify it.

7. Your rights and choices

Under the Australian Privacy Principles, you have the right to access the personal information we hold about you, and to request that we correct any information that is inaccurate, out of date, incomplete, irrelevant, or misleading.

Access: you may request a copy of the personal information we hold about you by contacting us at thatcleaningco@outlook.com. We will respond within 30 days. In most cases there is no charge for this, although we may charge a reasonable fee for requests that are complex or require extensive effort.

Correction: if you believe information we hold about you is incorrect, please contact us and we will take reasonable steps to correct it.

Deletion: you may request that we delete personal information we hold about you. We will comply where we are not legally required to retain it.

Complaints: if you believe we have breached the Australian Privacy Principles or this Privacy Policy, you are entitled to make a complaint. Please contact us first at thatcleaningco@outlook.com and we will respond within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.

8. Cookies and tracking

Our website uses cookies and similar technologies to support its basic operation and to analyse how visitors use the site.

Strictly necessary: our hosting provider sets session-level cookies required for the website to function. These cannot be disabled.

Analytics: we may use privacy-respecting analytics tools to understand aggregate usage patterns. Any analytics data is anonymised and cannot be used to identify you.

Google Fonts: loading fonts from Google's CDN causes your browser to connect to Google's servers. This is a technical function of how web fonts are delivered. See Google's privacy policy for details.

You can control cookies through your browser settings. Note that disabling certain cookies may affect website functionality. Our website does not currently display a cookie consent banner because we do not use non-essential tracking cookies that require consent under Australian law.

9. International data transfers

Some of the third-party service providers we use are located outside Australia, including the United States. When we transfer your personal information to overseas recipients, we take reasonable steps to ensure those recipients handle your information in a way that is consistent with the Australian Privacy Principles.

Specifically: Resend (email delivery, USA) and Sanity.io (content management, USA) both operate under privacy frameworks that provide meaningful protections for personal information. Links to their privacy policies are provided in Section 4.

By using our website and submitting the contact form, you consent to your information being handled by these overseas providers as described in this policy.

10. Children's privacy

Our website and services are not directed at children under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal obligations. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically.

Material changes that affect how we handle your personal information will be communicated more prominently, such as via a notice on our homepage or direct email to affected individuals where possible.
